Artis—Naples creates and presents over 300 events annually in the areas of performing arts, visual arts, arts education and lifelong learning as well as maintaining a strong commitment to community partnerships. The Naples Philharmonic, entering its third decade, performs 140 concerts annually in various genres including orchestral and chamber music concerts, as well as opera and ballet, education and special event concerts. The Baker Museum is a fine arts museum and the visual platform of Artis—Naples.
The Baker Museum at Artis—Naples is currently accepting applications for the position of Assistant Registrar. Working under the direction of the Registrar and Curatorial team, the individual who is appointed to this position will assist in the record keeping, care, location, and handling of artworks in the permanent collection as well as those in traveling and circulating exhibitions. He/she will report to the Registrar. Candidates should possess a broad familiarity with the art of the 20th and 21st centuries, a demonstrated knowledge of museum practices, excellent organizational, interpersonal, and communication skills.
Required Experience:
Responsibilities:
-Prepare preliminary checklists, condition reports and electronic records of new acquisitions
-Number/label objects
-Works to maintain an image archive including images of the permanent collection, all exhibitions on loan and circulating exhibitions. Ensure proper object information and credit lines for labeling digital photography, transparencies, jpgs etc.
-Field rights and reproductions requests for images in the permanent collection and on loan both in-house and external requests in keeping with copyright restrictions etc.
-Assist in the care and organization of collection storage areas. Determine object storage locations. In conjunction with the Registrar, evaluate and suggest improvements to collections standards and policies
-Perform collections inventories. Monitor internal and external movement of objects
-Monitor climate control in galleries and offsite storage
-Consult conservators for approval and recommendations on exhibiting objects
-Arrange for conservation for both loans and permanent collection objects
-Consult Curator and Preparator to determine framing or mounting needs
-Prepare Incoming and Outgoing Loan Agreements as needed
-Review Facility Reports as needed
-Obtain insurance valuations
-Prepare/request Certificates of Insurance
-Arrange for packing and shipping of objects
-Act as courier and arrange visiting couriers’ schedules
-Complete Condition Reports and develop Condition Report Notebooks as needed
-Work closely with Curators, Preparators and couriers on exhibition installations/de-installations to ensure safe handling and proper installation of objects, and make sure that all lender requirements are being met
-Prepare Incoming/Outgoing Receipts
-Enter object/ exhibition / constituent information into database. Assist Registrar with updating database policies
-Maintain updated Outgoing Loan schedule
-Orders supplies as needed.
-In all aspects, work to maintain a museum standard of excellence in accord with the American Alliance of Museums working toward museum accreditation.
Job Requirements
We require a Bachelor’s degree in museum studies or related discipline, Master’s degree preferred. Experience in administrative work, object handling and database knowledge is essential. Candidates must have a minimum of two years of progressively responsible and relevant experience in the field. Strong knowledge base required in museum registration methods as prescribed by the American Alliance of Museums. Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Access, and TMS essential, knowledge of Crystal Reports preferred.
