Gallery Registrar and Manager
China Institute Gallery is seeking candidates for the position of Gallery Registrar and Manager. The ideal candidate is a reliable, detail-oriented person with excellent written and verbal communication skills, strong organizational skills, and the ability to deal with multiple tasks and meet deadlines. Candidates must be self-disciplined and able to work in a team. Computer skills in Microsoft Office are required, familiarity with digital imaging software helpful. Position requires a B.A. degree in art history or museum studies, M.A. preferred; related experience preferred.
Responsibilities include:
• Handling all aspects of exhibition loans including incoming and outgoing loan agreements, shipping and fine art insurance
• Preparing and overseeing condition reports for exhibition artwork
• Coordinating the details and timely signing of exhibition contracts
• Assisting in development of exhibition checklists
• Facilitating catalogue production: illustration/text permissions, credit info, ISBN number/LCN/barcode, gathering and organizing images and proofreading
• Overseeing the Gallery Alarm and security system and coordinating the Gallery’s maintenance
• Promoting traveling exhibitions including preparation of newsletter/announcement, fact sheets and summaries, contracts, etc.
• Assisting with production of promotional materials such as flyers, announcements and rack/post cards; advertising, invitations, and didactic panels and oversight of website/social media content
• Monitoring Gallery operations including schedule of exhibitions, details and deadlines for shipping, insurance, member events and art education program
• Liaison with Gallery Committee – preparation of Gallery Committee meetings and minutes
• Liaison with Museum professionals, including curators, catalogue contributors, installation designer, editors, catalogue/invitation designer, printers
• Assisting in Grant application preparation and reporting; assisting Gallery Director with managing Departmental Budget and processing Expense Approvals and Payment Requests
• Providing assistance, as needed, to the Gallery Director to ensure the smooth operation of the Gallery
