Job Reports To: Collections Manager
Job Summary
The New-York Historical Society is hiring a Project Manager who will oversee and manage the transfer of the New-York Historical Society’s collection of 30,000 objects to an off-site storage facility. The Project Manager will also work in consultation with multiple museum departments including Collections, Curatorial, Conservation, and Operations as well as the Museum Database Administrator.
This position is full time (temporary), being offered for a period of seven months.
Major Responsibilities
Leading the N-YHS Collections Transfer Project
Managing and supervising the work of two Project Registrars, two Assistant Registrars and staff from selected fine-art shipping company
Creating and implementing procedures for the inventorying, documentation, release, receipt and tracking of all objects to be transferred to storage
Developing and maintaining efficient workflow between registrars and art handlers
Planning and scheduling logistics for the deinstallation, packing/crating, and shipping of collection objects
Leading regularly scheduled Collections Transfer Project meetings with project staff, fine-art shipping staff, and N-YHS staff
Performing other reasonable duties as required by the Collections Transfer Project, including but not limited to:
Overseeing packing
Condition checking
Couriering shipments
The ideal candidate will be detail-oriented, able to forecast and prepare for the needs of the project, juggle multiple tasks and shifting priorities, and work productively in a hectic environment. Proven excellence in oral and written communication as well as superior organizational and interpersonal skills is required.
Education: Candidates should have a BA/BS degree in a related field; MA in museum studies, art history, history, material culture or related field preferred.
Experience: At least five years registration/collections/exhibition experience in museums.Experience managing a large collection move is required. Also must have several years of supervisory experience.
Skills: Required: Proficiency with TMS (The Museum System) collection management; proficiency with all MS Office programs and their Google Doc counterparts; knowledge of current registration methods and art handling techniques. Preferred: Experience with bar coding systems; experience handling both art collections and collections of material culture.
