Organizes and manages several loan exhibitions concurrently, including domestic and international, single and multi-venue exhibitions, in the Department of Medieval to Modern European Painting and Sculpture. Creates and maintains databases for each of these exhibitions. Facilitates and maintains all loan correspondence and related paperwork. Manages and trains interns, volunteers, and occasionally special project employees. Initiates and coordinates all work necessary for Indemnity process. Gathers and synthesizes information on works under consideration for exhibition. Supervises, along with curator, archival research on objects and research for catalogue and other related publications, including exhibition web sites. Serves as primary contact for guest authors. Manages all activities between curatorial department and Museum Registration for loans, keeping curator and Registrar up-to-date on their status, as well as facilitates work with all other related museum departments. Calls and conducts meetings. Initiates and coordinates all contact between curatorial department and institutions/private collectors, and dealers. Coordinates all activities between the Art Institute’s curatorial department and the partner institutions. Advises curators on current museum protocols and departmental requirements for exhibitions, and other exhibition-related matters.
PRIMARY DUTIES AND RESPONSIBILITIES:
1. Manages and tracks all exhibitions produced by the Medieval to Modern European Painting and Sculpture department, including the following in the immediate future, some of which are being organized simultaneously:
Vuillard (2015)
Van Gogh (2016)
Gauguin (2017)
Tarsila do Amaral (2017)
2. Compiles object information for works on checklist. Coordinates scanning of all images on checklist. Creates and maintains extensive database, which is used to store and update object, image, and lender information, loan correspondence, research, insurance, conservation, lender requirements, exhibition catalogue information, and installation information, which in turn is used to generate numerous lists and documents used in the planning and organizing the exhibition for the entire museum, partners, authors, and Indemnity and Immunity applications. Provides database with Registrar and partnering institutions as needed.
3. Formats, edits, distributes, and records all loan correspondence, some of which require translation.
4. Manages and trains interns, volunteers, and occasionally special project employees and coordinates their responsibilities, which includes everything from filing to conducting primary and secondary research.
5. Develops and submits budgets for travel, grants, symposia, special installation needs, and special events. Including, but not limited to, didactic and audio visual; airfare, hotel, food and miscellaneous expenses; honoraria; internal and external food and beverage; security and staffing; invitations and brochures; linen and floral expenses.
6. Initiates, coordinates and follows through on all interaction between lenders, Museum Registration, Director’s Office, partnering institutions and guest authors to insure the flow of information is shared and kept current.
7. Initiates, organizes, and occasionally conducts meetings and records development on all fronts between partnering institutions and all internal departments involved in producing major loan exhibitions, including but not restricted to: Director’s office/Administration, Conservation, Graphics, Imaging, Museum Education, Museum Shop, Publications, Marketing, Public Affairs, Development and affiliated groups, Security, Visitors Services.
8. Prepares application for U.S. Government Indemnity. Serves as direct contact with institutions and private collectors for queries related to Indemnity application. Works toward finalizing outstanding loans. Gathers all lender insurance values. Provides third party valuator with object information, images, and lender values. Obtains third party valuations and writes valuator’s biography. Edits entire application including long and short exhibition narrative and shipping narrative. Creates image binder to correspond with the application. Corresponds with Indemnity administrator in Washington D.C. as needed.
9. Initiates and follows through on all interaction between the publications department, guest authors, and curatorial department. Provides Publications with lender contacts and object information required for exhibition catalogue and photo orders. Provides caption information for loaned works and some comp. ill. captions. Reviews pre-edited materials for catalogue and does general editing of galleys. Reviews and edits exhibition wall text, object labels, and web site as well as other didactic materials used in conjunction with the exhibition.
10. Provides audio tour writers with exhibition floor plans, images, and catalogue galleys. Reviews audio tour script for accuracy. Coordinates final audio tour stops with Graphics for proper signage. Distributes final text to Public Affairs.
11. Initiates Image Bank selection. Clears rights with lenders or third parties. Coordinates photography between Publications and Imaging. Edits final caption information. Reviews copyright information with Legal department for images used on web or didactic materials in the exhibition. Clears necessary rights.
12. Works with and assists exhibition designer on all elements of the installation: floor plan, elevations, cases work, paint colors, Audio Visual elements, etc. Obtains and provides designer with images and framed dimensions for work in the installation as well as other specific elements in the exhibition. Works with Graphics team to coordinate wall text, object labels and didactic elements for installation. Directs Physical Plant department on the final details needed during the installation process: painting, stanchions, lighting, special construction, etc. Provides installation crew and curators daily installation schedule.
13. Prepares Immunity from Seizure application. Initiates all research towards foreign objects including provenance, exhibition history, and bibliography including making personal contact with collectors and institutions for further information. Reviews provenance and for works with gaps in provenance contacts The Art Loss Registrar for further research and certificates confirming the works are not in their database. Reviews and edits Cultural Significance Statement.
14. Supervises Medieval to Modern Art Handlers and exhibition crew during the installation period. Works with and advises Registrar, Graphics, Physical Plant, Mount Makers, and out side contractors as needed.
15. Coordinates all special events, lectures, and symposia, related to the exhibition, including the Lender Dinner and Sponsor events. Prepares working budget, organizes invitation list, drafts, edits, and reviews any printed materials in conjunction with event, helps select menu, linens, flowers, orders any necessary audio visuals.
16. Lectures on and gives tours of special exhibitions and related subjects.
17. Tracks lender requests for catalogue and distributes to lenders, internal authors and contributors, as well as external recipients of the catalogue. Coordinates and facilitates mailing of all catalogues.
18. Performs other duties specific to the above-named special exhibition projects as needed.






Job Requirements


Qualifications



Minimum 5 years museum exhibition experience highly preferred. Must have an advanced art history degree. Knowledge of the way major museums run and knowledge of all the component aspects involved in developing and organizing major loan exhibitions is necessary. Should have familiarity with international and national museums; contacts with curatorial departments and other museum colleagues. Must have experience with loan, condition of loan, and exhibition contracts. Reading comprehension in secondary language needed to translate correspondence and loan forms. Experience in preparing applications for Indemnity and Immunity from Seizure necessary. Must possess ability to do advanced art history research using Ryerson and other libraries and archives. Must have superior word processing and data management skills: Word, FileMaker Pro, Excel, Photoshop, PowerPoint. Superior communication, writing, and organizational skills required. Foreign languages preferred, especially French.
