Associate Registrar, Anthropology Collections
Department: Gantz Family Collections Center, Science and Education
Part-Time Regular Position (21 hours/week)
Job Description
The Associate Registrar will oversee all aspects of new acquisitions for selected areas of the Anthropology Collection, including budgeting, incoming shipping, legal paperwork, acquisition documentation (both hard copy and digital) and physical processing. This person will work with curators, registrars, collections managers, and conservators to determine the needs of each incoming collection. (S)he will help train and supervise staff, interns, and volunteers to assist in various acquisition projects. The Associate Registrar will also be responsible for helping the Head Registrar with collections area administration of information, rights and reproductions requests, in-house loans and destructive analysis applications.
The Associate Registrar reports to the Head Registrar, Anthropology Collections.
Job Duties
· Process new acquisitions for permanent and teaching collections, including gifts, purchases, bequests, and field collections (50% of time)
o Arrange for appropriate packing and shipping in consultation with the source party
o Generate acquisition paperwork (e.g. receipts, object inventories, deeds of gift, bills of sale), assign temporary ID, accession, and catalog numbers, create and maintain accession files
o Create and update electronic files using the collections management database (KE EMu)
o Participate in monthly meetings of assigned Collections Administrative Teams and Anthropology’s Acquisitions Committee
o Perform physical processing of new acquisitions, including condition reporting, pest mitigation, measuring, photography, tagging, labeling, and housing
o Track annual Registration budget for new acquisition processing and ensuring adherence to that budget
· Coordinate requests for rights and reproduction permissions, destructive analyses, in-house loans and information inquiries. (30% of time)
o Receive and respond to requests for Anthropology image use in coordination with Photo Archives and appropriate Collection Administrative Team
o Receive and respond to research inquiries
o Receive and respond to applications for destructive analyses
o Receive and process in-house loan requests and requirements
· Assist with assigned collections area administration of the Museum’s collection and digital asset management system, KE EMu (15% of time)
o Aid with management of Anthropology’s digital assets relating to the collections
o Capture new and updated information regarding collection in database
· Support collections management tasks as needed (5% of time)
o Provide support to Anthropology collections managers as needed
o Occasionally assist visiting researchers with access to collections and collections documentation
o Participate in behind the scenes tours as needed
· Assist with maintaining conditions of the Registration Cataloging Room, the Records Room, and workspaces containing Anthropology collections and collections documentation.
· May assist with exhibition installations and deinstallations as needed.
· Domestic courier travel may be required.
Qualifications
· B.A. or B.S. in Museum Studies, Anthropology, Art History or a related field; Master’s degree preferred.
· Minimum 5 years museum registration experience or an equivalent combination of education, hands-on training, and experience.
· Thorough understanding of best practices in museum registration and collections management.
· Comprehensive knowledge of, and experience with, acquisitions, deaccessions, and standard registration protocols is a necessity.
· Must be organized, detail oriented, and self-motivated. Must be able to handle confidential information with discretion. Must have excellent communication skills and ability to interact effectively with a wide range of internal and external parties, including, but not limited to curators, collections managers, conservators, interns, volunteers, donors, estate executors, and supply and service vendors.
· Demonstrated computer proficiency with Microsoft Word and Excel and with museum collections management databases, such as KE EMu. Crystal Reports knowledge desirable.
