This position is responsible for collections stewardship and registrar functions. Managed all aspects of gifts, lending, and borrowing art works, such as deed of gifts, contracts, logistics, transportation, insurance and risk management. Oversees contracts and budgets related to shipping, crating, storage, security, environmental conditions, installations restrictions, customs and couriers. Request US and International Indemnity and is responsible for insurance arrangements for multiple, concurrent, traveling domestic and international exhibitions.
Primary Functions and Responsibilities
Project Manager for collection survey, digitization and launch of On-Line Collection Database.
Supervises administration of collection management database. Organizes exhibition archives and enters record information into TMS program.
Supervises documentation of exhibition installations and links images to TMS exhibition archive.
Coordinates quote estimates, staffing, and conservation measures for transference of collection storage to on-site and off-site locations.
Secures and manages fine art insurance and commercial art policies.
Accesses new acquisitions and administers legal documents, tax forms, data entry and hard-copy titles, related to art works. Administers de-accessions (contracts, transportation, and payment).
Updates location records for permanent collection and loans, including organizing and implementing inventory projects, and installation records.
All registration duties pertaining to permanent collection installations and traveling and temporary exhibitions, including international tours and incoming exhibitions.
Job RequirementsThe successful candidate should have a bachelor degree (master degree preferable) in museum studies, art history, cultural studies, or related field; plus at least 5 years relevant experience in museum collections management. He or she should also have familiarity with international and national museums; contacts with curatorial departments and other museum colleagues. Essential skills: demonstrated knowledge of museum database management systems (Gallery Systems preferred).
Knowledge, Skills and Abilities
Knowledge of museum registration methods, cataloguing, conservation and storage general practices; legal and insurance issues in museum studies; and governing rights and reproductions.
Cultural flexibility strongly recommended.
Courses in transportation & logistics and /or international business strongly recommended.
Knowledge of the implications and regulations of being a Certified Cargo Screening Facility (TSA) and the impact in museums cargo.
Ability to work collaboratively and independently to achieve institutional goals and tight deadlines.
Computer skills (Microsoft Office- Words, Excel, Power Point).
Excellent verbal and writing skills both in English and Spanish.
Highly organized with the ability to implement systems and follow up processes.
