TITLE
Registrar, Loans and Exhibitions
DESCRIPTION
Academy Museum of Motion Pictures
The Registrar for Loans and Exhibitions will manage and coordinate loans and exhibitions for the Museum and outgoing loans for the Library. The ideal candidate must be highly organized, efficient, able to multi-task, and possess excellent attention to detail.
Responsibilities:
•Manages all logistics for incoming/outgoing loans and in-house and traveling exhibitions, including but not limited to handling, packing, shipping, insurance, preparation, courier responsibilities, and condition reporting.
•Ensures proper documentation and record-keeping is in place, following AAM standards, for loans and exhibitions including but not limited to: loan agreements, facility reports, insurance certificates, receipts, condition reports, and pro forma invoices.
•Reviews borrower facility reports and maintains and distributes the Museum's facility report as necessary.
•Acts as courier for traveling loans and exhibitions.
•Manages workflow and schedule in collaboration with other departments to ensure loans and exhibitions are delivered, installed, or returned efficiently.
•Maintains compliance with US Federal and International shipping laws.
•Supervises art handling and exhibit preparation of loan objects including: installation, deinstallation, transport, unpacking and packing of crates and other movement.
•Assists with developing procedure for loans and exhibitions registration.
•Assists with maintaining record-keeping systems and procedures that promote identification and management of Museum loans and exhibitions and outgoing Library loans.
•Manages loans and exhibitions physical files and assists with loans and exhibitions updates in collections database.
•Assists with monitoring the museum's environment and pest control in exhibition gallery spaces, maintaining data loggers, insect traps, producing charts and related reports in conjunction with the conservator.
•Collaborates with several Academy departments to ensure proper care and management of loans and exhibitions including curatorial, exhibition preparation, security, and conservation.
•Liaises with a range of stakeholders, including other Academy staff, members of site-partner organizations, staff at other institutions, donors, vendors, fine art shipping companies and members of the public.
•As necessary, assists with permanent collection registration projects.
•Conforms to and promotes codes of ethics and standards governing the art museum and archives professions.
•Attends lectures and workshops to keep current with museum best practices.
•Other duties as assigned.
POSITION REQUIREMENTS
• Candidate is required to have a Master’s degree in museum studies or a related subject plus a minimum of three years of museum registration experience. Equivalent education and experience will be considered.
• Familiarity with standard museum registration and collections management policies and procedure is required.
• Experience and competence with collections management databases is required.
• Candidate should be knowledgeable and experienced with best handling practice and preventative care for museum objects and archival material. Candidate should also be familiar with storing, moving and packing artworks and archival material to museum standards.
• Familiarity with US and international shipping laws and regulations preferred.
• Candidate must possess excellent oral and written communication and interpersonal skills.
• Must have a valid passport and driver’s license and be willing to travel domestically and internationally.
• Must be able to sit, walk, stand, climb stairs and ladders, and lift or push objects up to 50 pounds.
