Registrar - Full Time Position
A Private Art Collection with offices based in New York City and an exhibition space in the Hudson Valley, seeks a Head Registrar with strong administrative and collection-based experience to oversee the care and management of a growing collection of contemporary art and design objects.
Requirements: BA in Art History, Arts Administration, Museum studies, Fine Arts or related field. Three or more years of registration experience in a museum, private collection or Foundation setting, with experience in collections management and cataloging. Excellent computer and database skills, communication and organizational skills, and meticulous attention to detail. Ability to travel. Willingness to eventually relocate to the Hudson Valley a plus.
The registrar is responsible for all aspects of collection management, including documenting new acquisitions, coordination of the physical collection care and storage, fine art shipping, both national and international, originating loan paperwork, and overseeing insurance contracts. Other duties include writing condition reports, database reconciliation, and coordination of logistical and administrative tasks. We seek someone who is self-directed and a team- player, with intimate knowledge of best practices in art cataloging, handling, shipping and storage.
Key responsibilities:
Digital cataloguing of artwork for archives and special projects.
Manage all aspects of invoicing, releasing, receiving, and installation of artwork, including domestic and international shipping, scheduling installations, and coordinating with framers, lighting and art handling staff.
Work closely with Art Galleries, Auction Houses and Private Dealers to obtain
original documents including but not limited to Certificates of Authenticity, high
resolution photographs, artist statements, provenance, bibliographies etc.
Prepare condition reports and conduct physical inventories.
Research exhibition history and related publications, and facilitate appraisals.
Archive image files and organize image galleries.
Prepare and organize archive binders containing original documents including invoices, payments, Certificates of Registry, Certificates of Authenticity, correspondence, appraisals, insurance, auction, framing etc.
Oversee all activity and organization at storage facility, including
approving shipping, storage, crating, and photography expenses.
Maintain gallery storage and create inventory records.
Liaise with clients, artists and other individuals for deliveries, installations, and
special projects.
Work closely with the framer and provide specific Registry labels prior to
framing.
Qualifications:
Minimum of three years experience as Registrar in a museum, private collection
or foundation setting, with extensive experience in collections management
Bachelors degree in Art History or related field.
Prior experience with Filemaker or other Art database.
Fluency in Italian is a plus.
Expertise in cataloging, national and international art transport, and best practices in art handling, packing and shipping.
Strong knowledge of various media formats and file conversions for images and
documents.
Working knowledge of Photoshop, Microsoft Word, Excel, FileMaker Pro, and
Adobe Creative Suite.
Image Archiving experience necessary.
Excellent administrative and clerical skills.
Comprehensive understanding of insurance and customs declarations as related to logistics.
Familiarity with artists' materials is also required, including facility with time-based media objects.
Applicants must be self-directed to work methodically and initiate follow up to meet tight deadlines.
Superb written and verbal communication skills.
Excellent organizational skills and meticulous attention to detail are essential, with a willingness to adapt, and employ creative solutions to meet project goals.
About the Private Art Collection
The Collection, with offices based in New York City, will open a new arts space in the Hudson Valley devoted to Post-war and Contemporary Italian art. The arts space will feature a 20,000 square-foot structure dedicated to select works from the Collection, temporary exhibitions, research and public programs. Located along the Hudson River in Cold Spring, New York, this exhibition space is slated to open in 2017 and will be free and open to the public by appointment only.
The new arts space will house and draw largely from the Collection, one of the most expansive collections of Post-war Italian art in the U.S.
In development since the 1990s, the collection is centered around works by conceptual and contemporary Italian artists, with a strong focus on the artists associated with the Arte Povera movement.
