Position Overview: Provides administrative and technical support to archives division and is primarily responsible for general collections management; archival processing; reference and research services; and exhibit support. Museum Specialist – Archives develops and maintains a digital archive for a wide variety of collections materials across the division. Applies expertise in determining appropriate levels of archival processing, including arrangement, description, and preservation, for a variety of collection types and sizes. Applies knowledge of the Privacy Act; management of internal and external information; access restrictions; and copyright policy, as applicable to archives management. All tasks are fulfilled in full accordance with NMHM policy and procedure.
Primary job responsibilities:
Appraises, processes, and catalogs new and backlogged collections.
Writes informed finding aids for collections. Provides reference and research support for visiting researchers, NMHM exhibits and other Museum divisions. Provides internal and external support for research request relating to the general history of NMHM, its collections and collections history. Maintains a master shelf-list and updating collections database records. Coordinates storage of collections. Preserves and conserves collection materials and advises on the handling and display of archival material. Conducts ongoing comprehensive conservation reviews of collections and establishes a prioritized schedule for conservation activities. Compiles monthly report detailing related activities. Works with visiting researchers; processes written and telephone research requests; supervises volunteers and interns. Provides archives department support to public programs and public affairs. Serves on relevant Museum committees. Supporting the development of exhibits and public programs. Supports the development and execution of exhibits. Supports other NMHM elements. Contributes to other Museum functions. Develops and pursues extramurally supported opportunities. Manages collections per NMHM policy. Represents the NMHM in applicable professional settings, including meetings with tours, donors, researchers, high-level administrators, and military personnel, where skilled and polished communication is expected and discretion is required. Performs other related archival duties as assigned.
The ideal candidate: Pays attention to detail to maintain accuracy, clarity, and consistency. Performs all assigned task effectively, in a timely manner, and within provided deadlines. Accurately and appropriately appraises, processes, catalogues and manages new and backlogged collections. Accurately and clearly fulfills all researcher inquiries and requests for access to collections. Conducts a regular and efficient program of conservation activities. Maintains integrity of the physical and electronic organization of collection and associated records. Consistently and appropriately provides research and developmental support to exhibits and public programs in a timely manner. Ensures all work is consistent with policy and fulfills mission.
Requirements
Master’s degree in Library Sciences or Archival Management.
5 years of successful and relevant collections management experience. Responsibility for historically, scientifically, and monetarily valuable collections.
Expert oral and written communications skills required.
Ability to generate creditable finding aids. Ability to work in confined collections storage areas, ability to climb ladders and use basic materials handling equipment such as dollies, pallet jacks, flatbed carts, hand drills, etc. Ability to safely lift supplies or museum objects. Skill in collections or archives management databases (Ke EMu preferred).
