Responsible for Project Management as assistant or lead of internal and external art relocations as part of Art Services team.
Responsibilities include preparing and bidding all or part of a project with outside vendors; developing quotes for use in Capital and in-house budgets; generating schedules and timelines for cross departmental and vendor use. Organization and scheduling of all departmental and building services staff required for projects including but not limited to: Registration, rigging, technicians, Collections Managers, Security escorts and loading dock usage. Responsible for vendor staff and truck schedules as well as all on-site supervision. Responsible for all material and equipment specifications. Responsible for storage and crating; design and procurement; and quality control conforming with Museum Standards. Responsible for the safety and security of the various Museum collections and property affected by Project activity.
JOB DUTIES
Reports to the Manager, Packing and Art Services.
• Review all Project requirements and timelines and foresee potential needs and contingencies to facilitate and expedite the project to a successful outcome; on time and on budget.
• Develop Project documentation that outlines the proposed project plan and which can be shared as planning tools across departments, including production guidelines, budget, statistics and inventory lists.
• Manage and supervise vendor related art projects including bidding process, scheduling, packing and crating specifications and budget. Supervision of all site visits and works to maintain museum standards for art handling, packing, crating and rigging.
• The successful candidate will be able to delegate responsibility, to accept delegation and to work as a team member.
• Must be comfortable working on multiple projects, with both long-term and short -term deadlines, with vendor and Museum staff and with non-union and union staff.
• Assist Manager, Packing and Art Services to manage museum outside storage facilities including movement of objects in and out of storage, allocation of space and maintenance of database as well as bidding and supervision of major relocations to or from outside storage.
• Meet regularly for Project update reviews.
KNOWLEDGE AND REQUIREMENTS
Minimum three to five years of experience in art services management in either a large institutional, Museum or commercial setting with a minimum two years quoting, budgeting and managing art service projects to successful completion
• Must show a history of responsible positions, leadership ability and project success; and provide substantiating documentation.
• Experience with a broad range of packing and conservation technologies
• Excellent writing, book-keeping, communication skills and problem solving required.
• Working knowledge of the TMS collections data base.
• Proficiency working with Excel, Outlook and ability to generate and maintain a budget database to track expenses via Workday.
• BA/BS degree preferred
• Verifiable work history as project supervisor in art services
