The Art Institute of Chicago, founded in 1879, is a world-renowned art museum housing one of the largest permanent collections in the United States. An encyclopedic museum, the Art Institute collects, preserves, and interprets works in every medium from all cultures and historical periods. With a collection of approximately 300,000 art works and artifacts, the museum has particularly strong holdings in Impressionist and Post-Impressionist painting, contemporary art, early 20th century European painting and sculpture, Japanese prints, and photography. The museum’s 2009 addition, the Modern Wing, features the latest in green museum technology and 264,000 square feet dedicated to modern and contemporary art, photography, architecture and design, and new museum education facilities. In addition to displaying its permanent collection, the Art Institute mounts more than 30 special exhibitions per year and features lectures, gallery tours, and special performances on a daily basis.


Position Summary




Works with the Executive Director of Museum Registration and other Registrars for Loans and Exhibitions on all registration aspects of exhibitions and incoming and outgoing loans. Makes transportation arrangements and completes procedural documents including shipping orders, receipts, checklists, and loan forms. Works with the Executive Director of Museum Registration in overseeing insurance and U.S. Government Indemnity arrangements and budgets relevant to loans and exhibitions. Provides insurance, packing, transportation, and courier cost estimates to curators for use in exhibition budgeting. Oversees installations of exhibitions and the packing of art objects. Provides information to the public and other institutions about AIC collections.
PRIMARY DUTIES AND RESPONSIBILITIES:


Makes transportation, customs, and insurance arrangements with shippers, customs agents, lenders and borrowing institutions for works of art coming to the museum for loan exhibitions, and for loans by and to the Art Institute.
Coordinates installation and deinstallation of exhibitions, in consultation with art installers, packers, conservators and curatorial departments. Creates checklists and schedules for exhibition installation, transportation and deinstallation.
Completes loan agreements from institutions and individuals for objects lent and borrowed for exhibition and long-term loan.
Recommends and coordinates schedules for couriers to accompany works of art during travel. Acts as courier for complex trips and to accompany traveling exhibitions.
Determines crating requirements and schedules for objects going out on loan, in consultation with packing department and conservators.
Works with the Executive Director of Museum Registration and the Senior Associate Registrar for Loans and Exhibitions in overseeing insurance, indemnity, and budgets relevant to loans and exhibitions. Provides estimates of exhibition crating, shipping and insurance costs for use by curators in developing exhibition budgets.
Maintains records and prepares invoices for costs incurred in transport and insurance of loans and exhibitions.
Issues shipping orders for objects lent for exhibition and loan to borrowing institutions.
Issues formal receipts to vendors for all objects received as loans and all objects lent to other institutions.



Qualifications






Minimum 5 years museum registration experience in large and complex exhibitions required
Must have a strong working knowledge of fine arts insurance and federal indemnity
Must be organized, detail-oriented, flexible, professional, personable and able to multi-task
Ability to establish and maintain effective working relationships and strong collaboration with museum staff, representatives from other arts institutions, consultants, artists, and vendors
Ability to plan, prioritize, multi-task, and meet deadlines
Exceptional organizational skills
Strong interpersonal, written, and verbal communication skills
Experience with art handling, knowledge of best practices
Sufficient color perception and physical coordination to perform TSA related duties
