Under the supervision of the Head of Registration and Collections, the Assistant/Associate Registrar for Data Management manages the museum’s collection database system. S/he utilizes technology to preserve and manage the museum’s collection information and digital assets; collaborates with other departments to increase access to collection information and digital assets for the purpose of exhibition, publication, programs, and research.
Responsibilities
Administer collection information systems including KE EMu collection database. Act as the primary contact for database vendor (Axiell) and support. Troubleshoot collection database performance. With Head of Registration and Collections, establish individual and group rights for EMu users.
Work closely with outside web developers to insure that data is being sourced and displayed accurately from KE Emu when used in other applications.
Organize and maintain access to collections information through museum website and intranet site. Create collections data reports, forms, and exports as required by staff for use in registration, museum publications, statistics, etc.
Verify accuracy of all data and format consistency for new KE EMu records, including but not limited to, the permanent collection, loans, and exhibitions.
Develop and provide museum-wide training program for collections database, including the development and maintenance of an internal database user’s manual, new employee orientation and training, and periodic refresher sessions for current staff.
Work closely with staff to aid them in the process of identifying, correcting, and updating records in the database, including revisions to existing records according to established guidelines for changing records.
Maintain paper object records and create digital assets as appropriate.
Perform searches in the database and generate reports as needed.
Execute cataloging projects for the collection. Enter, organize, and maintain metadata and images in the collection database system according to institutional and industry standards. Supervise data entry by other museum staff. Create and maintain local cataloging guidelines, cataloging worksheets. Maintain industry standards for documentation, preservation, and presentation of collection information. Prepare collections information for use in museum publications and website.
With photography department, meet institutional imaging and documentation goals. Assist in development and maintenance of policies related to intellectual property and digital imaging. Monitor and assist with projects as needed.
Collaborate with other museum departments to prepare grant proposals related to collection documentation and digital access to collections.
Work with the Head of Information Technology and the Museum’s IT staff to insure that database is routinely backed up.
Keep abreast of developments and standards in the field of museum collection management system technology and applications for collection information preservation. Attend relevant workshops and conferences to further education and professional training.
Duties directly related to registration, as assigned: assist registrars with periodic projects such as permanent collection inventory, loans, large exhibitions, planning, receiving and releasing shipments, perform courier duties when required.
Prepare and oversee annual budget with Head of Registration and Collections.
Art handling as needed.
Maintain confidentiality regarding all sensitive museum information.

Possess a proactive spirit of collaboration in order to achieve strategic goals.
Must be available for travel as required.
Computer proficiency with MS Office products.
Excellent planning, communication, and organizational skills.
Proven ability to work independently and under close supervision, or as assigned, and to bring projects to completion in a timely manner.
Knowledge of proper art handling procedures and techniques, including packing and transportation methods.
Knowledge of museum standards and best practices of registration.
Ability to physically move, carry and/or maneuver objects weighing up to 30lbs; ability to bend or stoop.

Working knowledge of relational databases; proficiency with MS Office products.
Knowledge of emerging media and internet technology.
Excellent oral, written, and interpersonal communication skills.
Ability to follow procedures and guidelines, and meet deadlines.
