The University of Notre Dame (ND.jobs (http://apptrkr.com/get_redirect.php?id=1060118&targetURL=http://ND.jobs)) is accepting applications for a Registrar.

The Snite Museum of Art registrar is responsible for the care, custody, control of, and access to all artworks that are either Museum property or have been loaned to the Museum. Responsibilities include documenting, numbering, insuring, inventorying, and maintaining location files for artworks within the Museum's permanent collection and on loan to the Museum. Deeds of gift and IRS forms are required for gifts; loan forms/agreements and certificates of insurance are required for loans. The registrar also makes arrangements for art shipments, overseeing condition reports, conservation treatment, crate fabrication, customs, and shipping arrangements.
The registrar will also serve as project manager for the web-based image and text database that will be created to describe artworks within the Museum's permanent collection. This term project will be assisted by Notre Dame colleagues, consultants, and by the Museum's liaison to Gallery Systems, which provided the EmbARK collections software utilized by the Snite Museum of Art.
Specific duties and responsibilities include:
Manage and Update Collections Database: Maintain file server and backup files on a routine basis. Manage collections database (EmbARK by Gallery Systems) including administration of user accounts; training; user support; access and authorities; and customization and report creation in consultation in with Gallery Systems personnel. Undertake data entry and data cleanup for artworks.
Art Shipments: Arrange shipping by fine arts shippers, including insurance, customs, and courier arrangements. When necessary, arrange for outside vendors to fabricate shipping crates and for consulting conservators to prepare artworks for travel. Notify Security and Parking Services of expected shipments. Condition report artworks, provide receipts to lenders, reconcile incoming shipments, and assign a temporary identification number to incoming artworks.
Process image reproduction requests.
Process Requests to Borrow Snite Artworks: In consultation with curator and directors review other institutions facility reports and prepare outgoing loan agreement in consultation with the directors and ND legal counsel. Registrar will maintain a spreadsheet of upcoming and “active” loans to other institutions. Schedule conservation treatment required to stabilize artworks for travel and schedule/coordinate fabrication of shipping crates by outside vendors. Record exhibition histories for Museum artworks.
Inventories and Location Files: Undertake periodic collection inventories, verifying locations noted in database records. This includes artworks stored within the Kenmore facility and those placed on loan to the Main Building and other campus locations.
Snite Museum Traveling Exhibitions: Prepare exhibition contract in consultation with curator, directors, and ND General Counsel. Prepare condition report book, make shipping arrangements, and make insurance arrangements. Occasionally act as courier, to accompany art shipments.
Download, analyze, and archive daily gallery temperature and humidity readings taken from data loggers and forms completed by security officers; respond to routine requests from scholars and students (except when curator expertise is needed); periodically update Snite Museum facility report; maintain exhibition records both for exhibitions organized in-house and those borrowed from external sources, as well as for individual artworks made available to external exhibitions; supervise part-time employee and student workers; undertake additional duties as required.
Minimum Qualifications:
Master’s degree or Bachelor’s degree (5 years) or advanced certification beyond Bachelor’s: art, art history, museum studies, library science, information science. Art museum database administration and data entry; expertise with spreadsheets, preferably Excel; 3 to 4 years in a comparable position within an art museum
Preferred Qualifications:
MS Excel expertise preferred
