The Art Institute of Chicago, founded in 1879, is a world-renowned art museum housing one of the largest permanent collections in the United States. An encyclopedic museum, the Art Institute collects, preserves, and interprets works in every medium from all cultures and historical periods. With a collection of approximately 300,000 art works and artifacts, the museum has particularly strong holdings in Impressionist and Post-Impressionist painting, contemporary art, early 20th century European painting and sculpture, Japanese prints, and photography. The museum’s 2009 addition, the Modern Wing, features the latest in green museum technology and 264,000 square feet dedicated to modern and contemporary art, photography, architecture and design, and new museum education facilities. In addition to displaying its permanent collection, the Art Institute mounts more than 30 special exhibitions per year and features lectures, gallery tours, and special performances on a daily basis






Position Summary




Provides direct support to the Director of Exhibition Project Management in the monitoring and administration of the museum’s exhibition program. Manages and tracks several exhibitions concurrently, including domestic and international, single and multi-venue exhibitions with a primary focus on, but not limited to, the Department of Asian Art’s exhibitions. Manages and provides oversight on exhibition related project management tools used to schedule, organize, and track an exhibition’s progress to insure the completion of work at major milestones. Advises curators, exhibition managers, and support departments on current museum protocols and procedures and departmental requirements for exhibitions and other exhibition-related matters.


Is the lead role managing and tracking the exhibition portfolio in the Department of Asian Art.
Act as the primary liaison between the Department of Project Management and internal stakeholders involved in producing exhibitions, including but not limited to: Director’s office, Curatorial departments, Auxiliary Services, Communications, Conservation, Design, Development, Digital Experience, Facilities, Imaging, Learning and Public Engagement, Marketing, Membership, Museum Finance, Museum Registration, Public Affairs, Publishing, and Security.
Independently works to identify challenges and provides creative options that result in an agreed upon solution.
Supports planning and negotiation efforts with external museum and lending partners including, but not limited to: term sheets, artist and exhibition contracts.
Works closely with Museum Finance for the building, oversight, and approval of exhibition budgets and expenses.
Initiates, organizes, and conducts meetings and develops agendas, records meeting notes, and distributes meeting results.
Supports the implementation of software tools to aid in exhibition project management and execution.
Assists in developing a new protocol for the project management of exhibitions at the Art Institute of Chicago.
Works with the Department of Strategy and Analytics to develop new data-driven approaches for measuring deliverables and communicating progress.
Performs other duties specific to exhibition projects as assigned.

Requirements

Qualifications





Minimum 5 years museum exhibition experience.
Master's degree required.
Knowledge of all basic component aspects involved in developing and organizing loan exhibitions is preferable.
Understanding of international and national museums.
Familiarity with Immunity from Seizure and Indemnity applications, loan agreement forms, condition of loan forms, and artist and exhibition contracts.
Knowledge of project management software.
Superior communication, writing, and organizational skills.
