Title: Assistant Registrar
Clerical & Technical Union position, Grade: E
Schedule: 37.5 hrs week, Mon-Fri
General Purpose:
Reporting directly to the Registrar, the Assistant Registrar has responsibility for a broad range of registration programs, projects, and functions, encompassing all departmental operations including collections, campus logistics, loans, and exhibitions. This position handles sensitive security documents to maintain protocols and requires expert knowledge of museum policy, accepted US museum standards, and related federal mandates.
Focus:
The Assistant Registrar works directly with the departments of Curatorial, Conservation, Exhibitions and Collections, amongst others within the museum, and colleagues throughout the campus including the University Officers, Risk Management, and College Heads, to safely steward the collection and loans to and from the museum. In addition, this position is responsible for communicating with museum lenders, donors, borrowers, and fine arts vendors. The successful candidate must have flexibility to work in multiple locations on various days of the week (the greater New Haven area.) The Assistant Registrar will have responsibility for representing the Gallery domestically and internationally as a courier for loans and exhibitions.
Essential duties
1. With sound knowledge of museum policy, accepted US museum standards, and federal laws, coordinate and oversee the implementation of a variety of registration programs and projects: ensuring the proper care, handling, storage, security, environment, tracking, packing and crating, shipping, customs services and insurance of permanent collection and loan objects.
2. Management of collection objects on campus. With museum and campus colleagues, organize safe installation/de-installation, packing, transport, and storage. Perform periodic inventory. Serve as emergency contact.
3. Accession gifts and purchases.
4. Assist with the museum’s outgoing loans program.
5. Maintain permanent collection and loan records (database and hard copies). Execute receipts, releases, and other collection-related confidential paperwork, handle works of art.
6. Responsible for reviewing outgoing long term loans, collaborating with curatorial departments, renewing legal agreements with borrowers, reviewing condition reports, and assessing insurance coverage.
7. Assist with inter-museum shuttle system.
8. Participate in government-mandated security training and maintenance of government mandated compliance standards.
9. Assist with the development of collection-related policies and procedures.
10. Assist with various day-to-day activities of museum (object removal cards, property permits, accepting shipments).
11. Perform other duties as assigned.
Experience and Education
1. Bachelor's degree in Art History, Anthropology, Archeology, Museum Studies, or related field and three years of collection management and/or registration experience or the equivalent combination of education and experience.
Skills and Abilities
1. Solid understanding of museum ethics and standards. Proven experience organizing fine arts packing, crating and transportation.
2. Excellent organizational, communication, and computer skills, including relational database management; Proficient with Microsoft Office programs (i.e. Word, Excel, etc.).
3. Ability to work independently and effectively manage multiple projects simultaneously; Detail-oriented in all work preparation and execution as accuracy is essential.
4. Ability to be flexible and work with a diverse group of staff, donors, lenders, and vendors.
5. Must have own transportation with the ability to work in multiple locations.
Preferred Education, Experience and Skills:
1. Masters degree in Museum Studies or related field.
2. Use and thorough understanding of TMS.

1. Good vision is necessary for successful completion of many tasks required.
2. Must be able to sit and stand for long periods.
3. Must be able to safely lift objects of 50 lbs.
