Essential Duties & Responsibilities (other duties may be assigned)
• Prepare documentation including provenance history for new accessions and research documentation for deaccessioning
• Manage all aspects of collections care, following and implementing accepted museum professional standards and practices
• Coordinate and manage documentation for deeds of gift, bequests, and donations
• Prepare preliminary checklists, condition reports and electronic records of new acquisitions
• Works to maintain an image archive including images of the permanent collection. Ensures proper object information and credit lines for labeling digital photography
• Perform collections inventories. Monitor internal and external movement of objects
• Monitor climate control in galleries and offsite storage
• Prepare Incoming and Outgoing Loan Agreements as needed
• Review Facility Reports as needed
• Prepare/request Certificates of Insurance, obtain insurance valuations
• Arrange for packing and shipping of objects
• Act as courier and arrange visiting couriers’ schedules
• Complete Condition Reports and develop Condition Report Notebooks as needed
• Work closely with curators, art handlers and couriers on exhibition installations/de-installations to ensure safe handling and proper installation of objects, and make sure that all lender requirements are being met
• Prepare incoming/outgoing receipts
• Enter object/ exhibition / constituent information into database.
• Maintain updated outgoing loan schedule
• Work effectively with all Artis—Naples employees


RequirementsEducation/Experience
• Bachelor’s degree in museum studies, fine art, art history, history or other relevant discipline with experience in administrative work, object handling and database knowledge essential.
• At least two years’ registration/museum experience required, including a strong knowledge base in museum registration methods as prescribed by the American Alliance of Museums.
• Strong computer and organizational skills, good communication skills and attention to detail are essential.
• Master’s degree in Museum Studies preferred.
Skills & Abilities
• Principles and practices of museum exhibit and display design, construction and finishing, alterations and repairs
• Exhibition scheduling and coordination techniques
• Budget and fiscal management processes and procedures
• Effectively communicate with others in producing desired exhibitions
• Knowledge of art/museum security systems and procedures.
• Working knowledge of Microsoft Office suite required, knowledge of TMS (The Museum System database by Gallery Systems) and AutoCAD preferred.
