Description
Job Summary: The Registrar is responsible for managing the security and preservation of assigned exhibitions that are presented at the Frist Art Museum. This includes organizing and monitoring all shipping and movements of artwork related to exhibitions and other activities; scheduling installation and deinstallation of artwork; assuring insurance coverage and submitting indemnity applications for insurance as required; organizing and maintaining databases for all exhibitions; and maintaining documentary records related to artwork, exhibitions, and loans.
The following duties are normal for this classification. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Essential Job Functions: Working closely with other Frist Art Museum Staff:
Participates in the team planning of exhibitions.
Procures insurance coverage; submits applications for indemnity when appropriate.
Remains informed of legal issues relating to loans, particularly from international sources.
Monitors and tracks environmental conditions in the galleries and storage areas.
Generates, tracks, and maintains loan paperwork and records.
Generates checklists and ensures correct information for Design.
Organizes photography of objects as needed.
Organizes, tracks, and monitors/effectuates safe and secure packing and shipping of artwork for Museum activities.
Arranges for permits for import and export of foreign loans.
Organizes/supervises/effectuates all art movement within the Museum.
Maintains precise and continually updated location records for all artwork on premises.
Organizes/supervises/effectuates condition reporting for incoming and outgoing loans.
Establishes/effectuates a program of continual condition monitoring for all works on premises.
Contracts and is central contact for conservators who render services for the Museum.
Utilizes the Museum’s art management software application.
Responds to lenders’ questions about the Museum’s facilities and art handling policies and arranges for fulfilling special requests.
Participates in budgeting and maintaining relevant area of departmental finances.
Works effectively with volunteers and interns.
Other activities as requested.
Requirements
Education and experience: B.A., preferably M.A. or equivalent, in art history or museum studies, or equivalent. Candidates at the level of Registrar should have at least five years experience in art museum registration. Extensive project supervision experience, traveling exhibition experience, with domestic and international exhibitions, and understanding of conservation issues specific to the handling and preservation of works of art in all media. The Registrar should also be familiar with collections management software, with experience in FileMaker a plus.
Skills and Abilities:
Excellent team skills.
Excellent management, and time management skills.
Ability to meet deadlines and budgets efficiently.
Knowledge of computer applications for collections and exhibitions management.
Training and experience in safe art handling and mounting techniques and standards and in supervising art handling by others.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Demands may include:
Climb ladders and stairs.
Ability to lift 25 pounds.
Ability to stoop, bend, kneel.
Work in hydraulic lifts and possibly on scaffolding at up to 15’ from the ground.
Work extensively at a computer station (up to 6 hours per day).
Clearly distinguish subtle gradations of color and shading.
Work around paints, solvents, and other similar products in a workshop environment and around historic and art artifacts that may give off dust or off-gassing smells (taking all due precautions prescribed by OSHA regulations; the Frist will be equipped for safe handling of such materials).
