Position: Head Preparator
Status: Exempt, Full Time, Salaried
Reports to: Director of Curatorial Affairs/Artistic Director
Collaborates with: Curator, Registrar, Facilities Manager
Position Overview:
The primary scope of the job of Head Preparator is to organize and oversee the installation and de-installation of all art within the museum. The ideal candidate will be experienced in the safe handling of art and artifacts within a museum or gallery setting, and be capable of directing a crew of employees who assist with these tasks. He/She needs to be an excellent team player and be able to prioritize and problem-solve. The Head Preparator works closely with the Registrar and curators, and reports to the Director of Curatorial Affairs.
Key Responsibilities:
Locate, hire, and supervise appropriate temporary crew members and contractors for the installations and de-installations of all exhibitions (as well as for construction projects when needed.) Determine wages for temporary crew and contractors with input from the Director of Curatorial Affairs.
Establish and maintain installation timelines.
Schedule crew members, contractors and staff accordingly.
Gather bids for contracted work in a timely fashion.
Keep all necessary parties informed of schedule conflicts/changes.
Work with Curatorial team (and/or artists and lenders) to identify the required needs or issues pertaining to upcoming exhibitions or specific works of art.
Work closely with Facilities Manager to problem-solve specific issues pertaining to the limitations/specifications of the physical building.
Develop exhibition and operations budgets in collaboration with the Curatorial team, and adhere to the developed budget(s).
Preparation of all exhibition spaces (including: wall painting, locating and providing all necessary exhibition furniture, construction of walls and/or pedestals/platforms, installation of audio/visual equipment, etc.)
Oversee packing and crating for all traveling exhibitions in collaboration with the Registrar.
Design, construction and/or preparation of museum-standard cases and mounts for objects and exhibit materials.
Maintenance and operations of all exhibitions, including electronics, lighting, audio/visual and computer-driven components.
Maintenance and operations of all work areas, including Prep Room, art storage, loading dock and pedestal/crate storage.
Maintain all necessary tools and equipment.
Retain proper inventory of supplies and materials.
Design and implementation of all gallery lighting, in collaboration with Curator and Registrar.
Qualifications:
Minimum seven years experience (preferably in an arts organization).
Experienced in proper and safe art handling procedures.
Excellent organizational and time management skills.
Excellent teamwork and team management skills.
Proven ability to manage and coordinate multiple tasks as well as personnel.
Proven ability to perform under tight timelines, budgets and/or resources.
Knowledge of, and ability in, the construction of museum-standard platforms, pedestals, crates, etc. (experienced in metal working and basic carpentry; experienced in use of standard woodshop stationary and hand-held tools: table saw, band saw, router, etc.)
Experienced in the use of electronics and audio/visual equipment.
Proficient in the use of Adobe products (Illustrator, InDesign,) and Microsoft Office (Outlook, Word, Excel).
Knowledge of standard conservation and security practices.
Knowledge of lighting systems and applications.
Experienced in graphic production and installation, including text panels, labels and vinyl applications.
Forklift certification and experience with rigging a plus.
Pay Grade: Full-time, exempt, $40,000 - $44,000 DOE, plus medical, dental and vision, generous paid-time-off, flexible hours.
