Assistant Registrar

Overview
This regular full-time position (with benefits) will report to the Registrar while coordinating the documentation and handling of new acquisitions to the Permanent Collection in accordance with the museums acquisition procedures. In addition, this position will operate The Museum System (TMS) collection management database at the administrator level, including the creation of Crystal Reports; generate correspondence; provide general collection and exhibition support; provide administrative support to the Registration Department; and perform other duties as assigned.

Requirements


Three years of museum registrarial experience with an emphasis on acquisitions
Knowledge of proper art handling and packing practices
Must be organized and detail orientated
Excellent verbal and written communication skills
Strong interpersonal skills; ability to work in a professional collegial manner with other departments
Proficiency in Microsoft Word, Excel, and Outlook
Bachelors degree in art history or a related field preferred
Knowledge of The Museum System (TMS)


Essential Functions


Acquisition of new works to the Permanent Collection:
- Produce and track forms including Deeds of Gifts, Partial Deeds of Gift, Purchase Agreements, and associated cover letters
- Draft agendas and related correspondence for three collection committees; compile, upload and email information to committee members
- Coordinate with Registrar regarding incoming shipping and crating, condition reports, and copyright permissions of new acquisitions
- Enter and maintain accessioned objects into the collection database and media files; send object inventory questionnaires of new acquisition to artists and maintain back-up paper files
Registration Department support:
- Provide administrative coordination and support to Registration Department
- Track, code and enter departmental invoices into Excel spreadsheets
- Along with Registrar, act as administrator of The Museum System collection management database and create reports using Crystal Reports
- Prepare condition reports, certificates of insurance, shipping labels, shipping receipts, checklists, etc.
- Perform other registration, collection and exhibition support duties as assigned

Manual dexterity to operate computer and other office equipment required.
