Princeton University Art Museum (PUAM) is seeking a Registrar to support the registrar department with exhibition and loans activity. The position will have responsibility for outgoing international loans, as well as sole responsibility for three or more assigned exhibitions per calendar year. The position will report to the Chief Registrar and will work closely with the rest of the registrar department, including the Associate Registrars for domestic outgoing loans and for collections and with the Inventory Team (the Project Manager and three Collections Data Specialists). Additionally, the position will interact with borrowers, lenders, insurance representatives, shipping and transport agents, and Museum curators, preparators and administrators.
Outgoing International Loans (approximately 25 - 35 objects per year)
The Registrar will generate related documents such as PUAM's conditions governing loans, condition reports, all insurance paperwork and receipts ; and will approve (in consultation with the Chief Registrar and other pertinent staff) and arrange all packing, courier, transportation and installation details for the loans. Other duties may include arranging for contract conservators to assess works of art and their ability to travel, as well as reviewing and negotiating foreign insurance policies and indemnity summaries and Borrower facility reports. Will select, debrief and coordinate courier activity, including acting as courier when required. The position also arranges and maintains the long-term outgoing loans program, which includes loans on campus, the Princeton region and in New York. The Registrar will create, maintain and archive outgoing international loan and long-term outgoing loan files.
Exhibitions
The upcoming schedule consists of exhibitions generated by PUAM curators, University faculty, as well as touring exhibitions organized by other institutions. There is a possibility that exhibitions may travel to domestic and international venues. The position will be solely responsible for assigned loan exhibitions from the formal exhibition proposal approval through the close of the last venue. Duties will include all aspects of exhibition related incoming loans of works of art including arranging all crating and transportation (incoming, return and inter-venue), budgeting for registrarial portion of exhibition (ranging from $50,000 to more than $300,000), and coordinating contract personnel (such as conservators and mount makers). The successful candidate will also be responsible for insurance arrangements (including applying for US Government Indemnity and/or Immunity from Judicial Seizure) and for drafting and negotiating exhibition contracts (internally and with external exhibition partners). The position will generate loan agreements, condition reports, insurance certificates, receipts and other documents; maintain complete and accurate records both physical and digital.
Applicant will be expected to provide a senior level of activity and input within the department.
Job RequirementsPosition Requires:
* Bachelor’s Degree required
* Minimum of 4-6 years verifiable experience in museum registration and administration.
* Strong computer skills: expert facility with MS Office, including Word, Access, Excel, and Outlook.
*Experience with relational databases
* Previous experience shipping loans and/or exhibitions domestically and internationally.
* Extensive experience acting as a courier with artwork.
* Knowledge of current best practices and standards in the field (including art handling, packing and shipping).
* Excellent organizational, interpersonal, and communication skills (both written and verbal).
* Demonstrated ability to prioritize tasks and to meet competing deadlines in a fast-paced, deadline-driven environment.
* Ability to be equally effective when working independently or as a part of a team.
* Experience with digital photography required
* Meticulous work habits and attention to detail; consistency in procedures and quality of effort in all areas of work.
*The Final Candidate Must successfully pass a background check.
Preferred:
* MA in Art History Museum Studies or related field strongly preferred.
*The Museum System (TMS) preferred.
*Experience with Photoshop and Portfolio preferred.
