Registrar Position Description
Reports to: Director
Supervises: Preparation Staff, Curatorial Assistant andCuratorial
Interns
Lux Art Institute is redefining the museum experience to make art more
accessible and personally meaningful. At Lux, you don’t just see finished
works of art; you see the artistic process firsthand, engaging with
internationally recognized artists in a working studio environment.
*Residency Program*
-Coordinate Resident Artist program working with Director in planning each
artist’s exhibition and residency.
-Send our Request for Proposals; track and follow-up with calls and emails
for potential artists.
-Update files and database with proposal information.
-Create residency agreement letters, reviewing and negotiating with dealers
and artists.
-Work closely with artists, staff from other institutions, galleries,
collectors, and shippers to secure loans and exhibition checklists for
residency.
-Manage artist’s itineraries and serve as liaison throughout residency;
including their groceries and materials, and setting up their workspace.
-Work closely with Marketing/PR Manager for all press related materials.
-Manage Lux apartment; supplies, equipment, cleaning, curatorial library,
etc.
-Manage Residency Budget
-Reviewing artist calendar and guidelines with the artist.
*Registrar*
-Create Lux forms and agreements
-Process Incoming loan agreements
-Condition reports, incoming and outgoing
-Prepare Fine Art Insurance Certificates
-Oversees the fine art insurance policy for the museum
-Works closely with ArtWorks San Diego to coordinate domestic/international
shipments
-Plan, prioritize, schedule, and manage work for turnarounds with the
preparator; assess resource needs and determines adjustments as required
-Supervise preparators and temporary art installers, and works alongside
them, in the preparation of artwork and the installation and
de-installation of exhibitions
-Manage the ongoing monitoring of the condition and appearance of temporary
exhibit installations
-Assign registration ID numbers to all incoming exhibition objects
according to established registration system
-Manages digital images for exhibition and coordinates professional
documentation
-Manage on site and off site storage facilities
-Manage and trains interns to assist with projects if needed
-Assists with and advises the Education department and Special Events
department with issues related to exhibition spaces
-Participates in openings and other special events, which may take place
over weekends or fall outside of normal business hours.
*Curatorial *
-Manage and maintain artist database, EMBARK, print reports
-Manage Curatorial Assistant and interns.
-Research and file artist material
-Request artist material from galleries and artists
-Review received material with Director
-Create and maintain artist files
-Track galleries associated with different artists
-Maintain research files and databases
-Monitor correspondence and proposal submissions
-Maintain and organize non - circulating curatorial library
*Skills, Knowledge and Abilities*
-Excellent written and oral communication skills.
-Demonstrates a good knowledge of standard museum procedures and policies
according to AAM standards
-Excellent and demonstrated knowledge of EMBARK (or any other relational
CMS system)
-Ability to assess priorities and work well under pressure; excellent time
management, problem solving and analytical skills
-Ability to work with curators, galleries, vendors, other museum
professionals, the public and co-workers professionally and tactfully
-Discretion to handle confidential legal and financial information.
-Strong organizational skills to effectively manage multiple projects,
flexible
-Attention to detail
-Ability to work independently without constant oversight
-Experience with gallery lighting and track systems
-Knowledge and experience using digital photography equipment
-Proficiency in Microsoft office programs
-Knowledge of Adobe Photoshop and Illustrator programs
-Comfortable working with mechanical equipment/machinery, power tools
-Must be able to lift 30lbs independently
-Experience handling a variety of objects
*Hours*
Full-time, exempt position. Some evening and weekend hours arerequired. DOE,
