The Academy Museum of Motion Pictures seeks a Collections Coordinator to serve as a point person for the tracking and coordination of donations and purchased acquisitions across the Academy's collections. The Academy has extensive and comprehensive research collections on motion pictures including manuscript collections, photographs, posters, production art, moving image materials and three-dimensional objects. These collections are managed by the Academy's library, archive and museum staff. Working as part of a team, the Collection Coordinator will be responsible for routing collection inquiries to the appropriate department and tracking follow-up. The collections coordinator will be responsible for routing calls to the appropriate departments including library, science and technology, archive, and museum collections and will be responsible for tracking follow up on these queries. The position reports to the Director of Exhibitions and Collections.
Duties:
· Handle incoming requests regarding possible collections donations or purchased acquisitions to the Academy
· Route requests to collections managers and track responses
· Track donation offers made directly to all other Academy departments and maintain a comprehensive database of yearly acquisitions opportunities and activities
· Work closely with collection managers and acquisitions archivists to determine the feasibility of, and mechanism for, accepting or purchasing the offered materials
· Ensure that the Academy's Collections Management Policy is fully articulated and meets all standards for American Alliance of Museums accreditation
· Coordinate tracking and monitoring of all auction and other public sales activity as it pertains to motion picture materials, in close collaboration with Academy archivists
· Coordinate a plan for Museum acquisitions
· Develop and maintain close ties with studio archivists and private collectors in order to facilitate the sourcing of loan objects for exhibition
· Understand and facilitate the utility of current Academy cataloguing software, systems, procedures and standards; help facilitate a coherent cross-institutional database from which to access all collections
· Work closely with the coordinator of Digital Asset Management Systems to prioritize and facilitate the digitization and consistent cataloguing of museum collection assets
Qualifications:
· B.F.A. or B.A. in a museum studies, film studies, or art history, or a related degree; an advanced degree is preferred
· Strong knowledge of film related collections and archives
· Excellent interpersonal skills
· Knowledge of collections management best practices
· Excellent donor stewardship skills and the ability to reply to donors in a timely fashion
· Strong knowledge of current Academy collections in all areas is preferred
