In concert with the Museums Strategic Plan, a significant new initiative focuses on a major exhibition program with national and international presence. Under general supervision of the Head Registrar, and working closely with the Museum President and Assistant Curator on the development of this multi-year program, the Assistant Registrar, Special Projects will work to coordinate all registration functions related to the Special Project content and its travels including checklist coordination, loan agreements, condition reports, insurance, and transit arrangements.The Assistant Registrar, Special Projects will serve as a part of a focused team of professionals involved in the creation and execution of this major new initiative.
Principal Responsibilities (Essential Functions)Assist with the organization and implementation of major new exhibition program as directed by the President

Manage and coordinate the checklist for Special Project in conjunction with the President and Assistant Curator
Handle Special Projects logistics, including loan agreements, condition reports, packing and shipping arrangements, and contracting for exhibition venues
Coordinate, in collaboration with the Head Registrar, insurance and customs paperwork related to the Special Project
Work cross-departmentally to create installation and de-installation schedules for the Special Project
Supervise the unpacking, installation, de-installation and re-packing of artwork for the Special Project
Coordinate with Crystal Bridges Assistant Registrar to monitor conditions of environment and artwork in Exhibition galleries
Assist with transportation and lodging arrangements for couriers
Keep apprised of approved and current registrarial standards as well as basic conservation guidelines for the care and handling of artworks
Secure copyright permissions for promotional, educational, informational, and editorial uses of Special Project images for all museum projects, excluding store merchandise; Museum projects related to the Special Project will likely include at least one publication
Prepare and execute reproduction contracts and create and manage reproduction contract hardcopy file

Secondary Responsibilities


Assist with registrarial duties as assigned by Head Registrar
Act as courier, as assigned, to accompany exhibitions and loans worldwide
Complete all other duties as assigned
Minimum Qualifications
Bachelors degree from accredited college or university required, with course work in art, art history, museum studies or related field; Masters preferred
Knowledge of American Art, and a familiarity with artists materials required
Knowledge of principles and procedures of Collections Management filing and record keeping

In regard to education and experience, an equivalent combination of relevant education and/or experiences will satisfy the minimum requirements.
Work Experience:


Minimum two years of museum registration experience with a focus on exhibitions
Experience using complex collections database applications, The Museum System (TMS) preferred
Valid drivers license with clean driving record required
Ability to obtain valid passport
Proficiency in the use of MS Office software to include: Outlook, Word, Excel
Strong written and verbal communication skills
Must have excellent attendance and punctuality
Strong organizational skills and analytical skills
Ability to exercise discretion and independent judgment
Ability to work in a fast-paced environment with strong attention to accuracy and detail
Ability to multi-task and think critically
Ability to work independently and with initiative

Physical Demands and Work Environment:
The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Physical demands: In the work environment described below, position requires working at desk and utilizing a computer for prolonged periods of time and good eye/hand coordination. Position also requires verbal and written conversation with others, as well as standing, walking, bending, climbing, reaching, strenuous lifting/moving objects up to 25 pounds. Vision abilities required by the job include close vision.
Work Environment: The majority of work will be performed in an office environment. The noise level in the work environment is usually low to moderate. Work requires periodic transport of objects to and from local off-site storage facilities. Work requires occasional independent travel to and from these local off-site storage areas as well as periodic travel as a courier to accompany exhibitions and loans worldwide required. Occasional weekend, evening and night work hours also required.
