Job DescriptionThe Wolfsonian-FIU is seeking an experienced and energetic Collections Manager who will help the museum care for and make accessible its unique and diverse collection of modern visual and material culture, encompassing decorative arts, fine arts, propaganda, architectural materials, and industrial and graphic design from the period 1885–1945. The incumbent would add to the department of Collections and Curatorial Affairs expertise in standards for the physical preservation and care of collections, as well as in documentation standards for collections information systems. The Collections Manager reports directly to the Deputy Director for Collections and Curatorial Affairs, carries out the responsibilities below in close coordination with the Registration team, and collaborates across the institution to ensure the stability and accessibility of The Wolfsonian’s holdings stored and exhibited across three permanent locations.
The Collections Manager:


Oversees and coordinates the full range of routine collections management activities, including but not limited to processing, inventory, storage housing, location tracking, packing and transport, IPM, environmental monitoring, condition reporting, both in storage and exhibition spaces.
Researches and authors collections management policies and implements procedures; participates in organization-wide emergency management planning.
Facilitates and supervises access to collections for a wide-range of users, including staff, researchers, students, and others.
Participates in conservation needs assessments, exhibition-related staging, installation and de-installation.
Develops electronic documentation standards and procedures; adds, edits, and otherwise contributes to catalog (Re:Discovery) records; produces reports as needed.
Coordinates working group on thesaurai and authority control and works closely with the Digital Collections Manager on metadata and cross-walking issues; collaborates with curators, librarians, and external experts on the terminology for these controls.
Trains staff and other users in the use of the database and cataloging.
Recruits and supervises staff, volunteers, and students; provides training in the care, handling, and documentation of collections.
Helps develop and monitor the departmental budget; procures supplies and equipment; processes business and finance-related invoices and reports.
Serves on museum committees and participates in museum-wide projects and events as needed.
Performs duties as required which are logically related to the position.


Job Requirements

Master’s degree in a museum studies or humanities field
Minimum five years’ experience in collection management and/or registration, with supervisory experience
Experience managing diverse collections types and materials; specific experience with works on paper, decorative arts, and other collections relevant to The Wolfsonian’s holdings an advantage
Demonstrated in-depth knowledge of collections management, documentation, and preservation standards, policies, and procedures; SQL or Crystal Reports experience a plus
Strong experience with collections databases and cataloging standards
Experience collaborating in private, state and federal grants processes
Ability to lift up to 40 pounds, climb ladder, use basic power tools
Current driver’s license
Experience developing and managing budgets
Ability to solve problems independently and creatively
Excellent oral and written communication skills
Ability to work within a collaborative, fast-paced environment, managing multiple projects and deadlines
Solid work ethic, enthusiasm, and a sense of humor
Flexibility of working hours required to meet deadlines and for travel
