Job DescriptionOVERVIEW
The Associate Registrar for Exhibitions is responsible for oversight of the exhibition program at the IMA, including exhibitions organized by the IMA, exhibitions organized by other institutions, and contemporary projects commissioned by the IMA. The Associate Registrar for Exhibitions also supervises the Assistant Registrar.
ESSENTIAL JOB FUNCTIONS
Processing and negotiating loan agreements, exhibition contracts and artist agreements for commissioned projects.
Preparation and monitoring of exhibition project budgets. Maintenance of exhibition finance records in PO system and exhibition records. Reconciliation, reporting and record-keeping for exhibition budgets.
Coordination of insurance arrangements for exhibition loans and commissioned projects. Preparation of federal indemnity applications and immunity from judicial seizure as applicable.
Correspondence/Communication. Prepare and track correspondence regarding loans for exhibitions (includes emails, letters, certificates of insurance, etc.).
Coordinate courier arrangements for exhibitions, including airfare, accommodations and per diem.
Coordinate packing and shipping of works of art for exhibitions, including departmental paperwork and scheduling notifications. Receive and release works of art. Accompany art as a courier domestically, internationally and with traveling exhibitions.
Process entering and exiting works of art for exhibitions. Produce condition reports and ensure that art is tagged, measured, digitally photographed and properly stored.
Prepare and coordinate installation and deinstallation plans for exhibitions. Includes scheduling, coordination of staff members from Conservation, Design, Installation, Curatorial and Security. Communicate plans and lead team meetings for installation logistics.
Database management. Maintain exhibitions database and electronic records for all exhibitions. Ensure that information in exhibition database is archived in collections management database.
Attend exhibition planning, team and budget meetings.
Prepare and distribute inventories for exhibitions.
Oversee maintenance of exhibition archives, including collection, organization and storage of all documentation and records related to exhibition. Respond to inquiries related to prior exhibitions.
Oversee the Rotations and Reinstallations Policy and Procedure, including scheduling, communication, and record-keeping for all rotations of works of art in permanent collection spaces.
Assist in compliance with TSA policies and regulations, including monthly reporting, cargo screening, preparation of paperwork and retention of records.
Assist with updating and maintaining departmental forms, procedures, policies and schedules.
Assist in creation and updating of museum policy and procedure (Collection Management Policy, Emergency On-Call Program, etc.)
Available to work outside of normal museum hours for after-hours emergencies.
