Reports To: Chief Curator

Description: The Registrar is responsible for the documentation of accessions and deaccessions, incoming and outgoing loans, and is involved in exhibition installations and deinstallations, condition reporting, logistics, and coordinating collection-related information with all museum departments including Administration, Security, Public Programs, Education, and Development.

Responsibilities:


Develops and maintains lists of incoming loans, outgoing loans, working closely with our insurance carrier to verify proper coverage limits for the collection while on site and transit. Responsible for condition reporting of all incoming and outgoing objects. Is responsible for informing exhibition organizers of any concerns or changes to objects. These and all other duties will be performed in accordance with the CMA's Collections Management Policy.
Responsible for seeing that all documentation systems pertaining to the permanent collection are complete and maintained. This includes all aspects of the paper system (logbooks, files, deeds, and inventories and well as inputting and updating the electronic data system). Periodically reviews the suitability of the current documentation system to ensure that it best meets Museum needs and implements changes in consultation with the Chief Curator.
Ensures that the location of each object in the collection is updated in the collections database each time the object is moved, as well as maintaining incoming and outgoing logbooks as needed.
In consultation with the curator, the Registrar maintains current valuations of works of art for insurance purposes.
Meets annually with insurance agent to evaluate fine arts coverage.
Produces and updates the museum's Facilities Report in consultation with the Chief Curator and the Director of Facilities.
Works as needed with the Preparators on the pickup and delivery of art, and the packing of art for shipment. Valid South Carolina driver's license required. Acts as courier for international shipments when appropriate.
Responsible for access to all storage areas, and access to locking cabinets. Safeguards keys to furniture pieces and decorative arts cases.
Is responsible for the inventory of the collection on a rotational basis in consultation with the Chief Curator. Performs a spot-check of the inventory annually in cooperation with CMA auditors and provides a report to the Executive Director including any discrepancies.
The registrar will be trained on the Altru database to add and look up constituents, input cultivation and solicitation activities, input in-kind support from art donors and lenders, input art-related gifts and acknowledgements, and report on department-related gifts.

Other Responsibilities include:


As part of the Curatorial staff, works closely and collegially with other CMA departments and provides information to them in a timely way.
Volunteers to provide assistance to support other departments, when requested.
Be an active art community participant to increase museum presence.

Education and Training:
B.A. degree, preferably with knowledge of art history and museum work experience.

Skills and Experience:
This position is a full-time, exempt position in the Curatorial Department. The Registrar will demonstrate excellent communication, organizational and computer skills including collection management databases, and must exercise sound judgment and discretion in the handling of confidential matters. He/she will be able to work both independently and as part of a curatorial team that often works under pressure and on a wide variety of projects concurrently. The Registrar will be familiar with basic conservation concepts, procedures and terms. The Registrar will have a solid work ethic, enthusiasm, and a sense of humor. Knowledge of Microsoft Word and Excel and is comfortable with and attuned to changing trends in technology.Email cover letter and resume (.pdf format only) to the attention of:
