Job DescriptionPosition Summary
Brandywine River Museum of Art (located 28 miles from central Philadelphia), seeks a highly-experienced registrar to oversee all activities relating to the care and management of a 4,000-object permanent collection of American art housed in the museum and three historic properties. She/he will be responsible for policies and procedures encompassing collections care, risk management, incoming/outgoing loans, accessions/deaccessions, storage, packing, security of art work in transit and fine art insurance. The registrar will report to the museum director and supervise full and part-time staff.

Specific responsibilities:

Direct all activities of the Registration office and supervise the Registrarial staff, interns and volunteers; as well as manage, plan, and prioritize schedules and delegate workload. Hire, train and evaluate Registrarial staff.
Negotiate and maintain fine arts insurance for the permanent collection and loans.
Represent Registrar's office in meetings.
Recommend and implement policies and procedures regarding registration to ensure compliance with Federal, State, local and international laws and prevailing ethical standards relating to collections management and safety of collections.
Prepare and monitor budgets for Registrar's office and contribute in part to budgets for exhibitions, storage moves and other special projects.
Provide texts and any documentation, summaries or other information to development office for grant proposals as needed.
Oversee the coordination of accessioning procedures, including proper documentation with accurate information and physical numbering of the object for identification.
Direct the creation and/or maintenance of legal and informational documents on permanent collections and loans, such as museum receipts, deeds of gift, condition reports, wills, invoices and warranties.
Supervise the consistent updating of information in the collections management system as well as physical files.
Oversee internal and external object movement, including packing, shipping, security, insurance and recording of locations and provide internal and external access as needed.
Develop and implement inventory and storage projects.
Oversee the dissemination of information on the collection as needed to other departments, researchers, and students.
Oversee registrarial details of exhibitions (including permanent collection installations), including the travel tours of projects organized by the museum. This activity will include but not be limited to negotiating loan agreements, insurance and couriers as well as scheduling and supervising packing, shipping and condition reporting and supervising installation and deinstallation.
Act as a courier to museum loans when necessary.
Execute contracts for outside services as needed.
Oversee all rights and reproduction activities related to the collection and manage digital image archive.
Participate in strategic planning for and implementation of a program of commissioned site-specific installations on the museum’s grounds in 2014.


Job RequirementsEssential requirements:


Bachelor of Arts, M.A. preferred, art history favored.
Minimum of eight years registration experience at a senior level within a major art museum is required.
Must have demonstrable experience with all aspects of permanent collections stewardship and major international loans and exhibitions including contracts, budgets, insurance, transportation, governmental regulations, customs regulations, security procedures and U.S. Government indemnification program.
Must exhibit exceptional organizational skills, attention to detail, strong sense of responsibility, and be able to handle multiple projects simultaneously and prioritize workflow.
Knowledge of current museum techniques, practices and standards relating to special exhibitions, registration methods and collections records.
Strong written and verbal communication skills are required as well as a keen sense of diplomacy, optimizing effective interaction with a broad range of individuals, both within the institution as well as with outside professionals.
Familiarity with various collections information management systems including Argus and TMS.
