REGISTRAR, VERO BEACH MUSEUM OF ART
JOB DESCRIPTION:
The Registrar is a supervisory position which is primarily responsible for the registration and physical management of all art work in the custody of the Vero Beach Museum of Art, including the permanent collection, sculpture on the grounds, and artwork on loan.
Responsibilities Include:
Collections
1. Identifies, documents, and catalogs all pieces of art entering or leaving the Museum
2. Supervises the development and maintenance of paper and electronic records on all objects owned by or on loan to the Museum, including records of provenance, purchase or donation, photographs, evaluation, insurance, condition, and location
3. Coordinates and makes all arrangements to receive new acquisitions
4. Accessions all new acquisitions to the Museum including gifts, bequests, purchases and exchange; coordinates deaccessions
5. Administers fine art insurance policy
6. Maintains collections management system and oversees software updates
7. Supervises storage and display of all art objects and maintains accurate inventory locations
8. Monitors permanent collection for conservation needs
9. Monitors HVAC output, gallery light levels, and IPM controls
10. Arranges for photography of exhibitions and of art objects, maintains digital photography archive, and handles rights and reproductions requests
Exhibitions
1. Supervises installations, de-installations, and re-installations of all exhibition space and supervises personnel involved in those activities
2. Assists Curator and Executive Director in coordinating all exhibitions in galleries and on the grounds, as well as exhibitions the Museum circulates
3. Maintains exhibition schedule
4. Arranges shipping and receiving of all art objects
5. Arranges insurance for all loans and exhibitions
6. Generates loan forms and exhibition contracts
7. Maintains files and archives of all exhibitions presented at the Museum and those exhibitions organized by the Museum
8. Trains staff as required to impart art handling skills, professional museum related skills, and safety procedures
Other Duties
1. Maintains and updates Collections and Exhibitions pages of Museum website.
2. Coordinates departmental contributions to museum activities outside the department, for Special Events and Education programs.
Administration
1. Creates, maintains and administers departmental and exhibition budgets
2. Functions as the secretary of the Collection Committee and Exhibition Committee and is responsible for keeping the minutes of the Committees' meetings
3. Maintains departmental project calendar
4. Maintains good working knowledge of the Museum's policies, procedures, educational practices and ideologies
5. Is knowledgeable of Museum's collection and exhibition policies
6. Is knowledgeable of and practices the AAM's Code of Ethics
Functional Relationships:
Reports to the Director. Works closely with the Director, Curator of Collections and Exhibitions, Director of Facilities, Director of Education, and Director of Security and Technical Services. Supervises Chief Preparator and Conservator. This position is classified as Exempt.
Qualifications:
BA Degree (Art History or Museum Studies desirable) and MA preferred; five years previous museum experience in registration/collections management; effective written and oral communication skills, good management and organizational skills; knowledge of professional procedures of handing works of art; ability to work effectively with others; ability to work well under deadlines and multi-task.

The Vero Beach Museum of Art is the largest cultural institution on Florida's Treasure Coast and is accredited by the American Alliance of Museums. The Museum recently completed a 22,000 square foot expansion that encompasses a Collections & Exhibitions Support wing and new gallery.
