COLLECTIONS DATABASE AND DIGITAL CONTENT MANAGERThe Speed Art Museum seeks an enthusiastic, team-oriented individual experienced with collection management systems and digital media to serve as Collections Database and Digital Content Manager. The Speed is Kentucky’s largest art museum with a collection that spans 6,000 years of human creativity. An independent museum located on the campus of the University of Louisville, the Speed is currently undergoing a multi-phase expansion and renovation that includes a new North Building, Art Park and a public piazza.

Job Description
The Collections Database and Digital Content Manager is responsible for administrating the Museum’s collections database (The Museum System (TMS)), for providing collections information for use by staff, public, and other applications (for example, gallery design software), and for managing other digital initiatives that rely on collections information.
Responsibilities/Duties


Manages and maintains The Museum System (TMS), the Speed Art Museum’s collections database, ensuring usability of the system and integrity of collections records. Acts as liaison between the museum and Gallery Systems, the developer of TMS, to answer questions, troubleshoot problems, and implement software patches. Maintains user accounts and security controls. Modifies the database, as appropriate and when requested, to create new user-defined fields, new form views, and other changes.



Uses Crystal Reports to modify existing reports and develop new reports as needed by museum staff.



Working with registrars and curators, is responsible for creating and overseeing the creation of TMS records for newly acquired objects and incoming loans. Conducts and oversees data entry and maintenance of current collection records, images, and inventory information within TMS. Bears final responsibility for verifying accuracy of data input.



Works with IT department to ensure regular backup of database and other server-side processes.

Oversees image digitization of the collection. Works with curatorial department and other departments to develop a prioritized, long range plan for digitization of the collection. Works with curators, registrars and preparators to manage and coordinate photography of the collection; creates media records in TMS; and adheres to digitization standards.



Works with staff and outside vendors to implement and maintain an online collections database and to support collections information access via other platforms (for example, mobile applications, in-gallery interpretive technology, etc.). Works with curators to prioritize object lists, updates and inputs basic data, and ensures that each object has high quality digital image. Answers questions related to TMS, exports data as necessary, and ensures accuracy of data published online.



Works with Curatorial department, other staff, and outside vendors to implement gallery design software. Inputs additional data as needed, exports data according to format standards and modifies export as necessary to ensure clean import of data into gallery design software.



Maintains inventory of the collection. Works with preparators, registrars, and curatorial staff to document art movement, performs periodic random location checks, and assists with inventory of entire collection as requested. Analyzes and makes recommendations regarding potential implementation of bar coding system to track locations of artworks.



Works with IT department to implement TMS software upgrades. Serves as liaison between museum staff and Gallery Systems gathering information on data structure and database modifications that may inform the upgrade. Tests upgrade and reviews data prior to museum-wide implementation of upgrade to ensure integrity of data conversion. Manage and implement training for staff as related to upgrades.



Maintains existing standards and establishes new data standards for TMS fields. Prepares and maintains documentation and procedures for data standards and educates TMS users on those standards. Verifies that data standards are being followed.



Provides object information and documentation to assist in the development and coordination of exhibitions and installations organized by the Museum as well as for traveling exhibitions. Utilizes the Exhibitions module of TMS to document exhibitions.



Assists museum guests, scholars, volunteers, and staff with requests and inquiries concerning the collection. Answers public inquiries related to the collection.



Provides support and instruction to all TMS users.



Works with registrars and curators on deaccessioning and records information relating to deaccessioning within TMS. Also assists with processing of abandoned loans and unaccessioned objects according to Kentucky’s abandoned property laws. Compiles and exports object data for publication. Documents collector inquiries and resolution of object status.



Assists registration staff with requests for collections images.



Performs related work as required.

Minimum Qualifications
Bachelor of Arts degree in art history, history, or related discipline required. Information technology training and experience an asset.
At least two years’ experience working with relational databases, especially museum collections management databases as an administrator or registrar. Strong preference given to candidates experienced with The Museum System as an administrator or primary user. Experience working with online collections interfaces, digital asset management software, and/or content management software desirable.
Proficient in the use and administration of TMS or similar relational databases. Familiar with the Art and Architecture Thesaurus and other museum nomenclature systems desired. Knowledge of Microsoft SQL databases. Familiarity with SQL scripts desirable.
Proficient with or ability to become proficient with Crystal Reports, including ability to write report formulas using Basic syntax. Proficient with Adobe Photoshop and image correction and manipulation.
Familiar managing online collections access software and associated operations. Familiar with other public collections access tools such as mobile applications.
Sensitivity to and ability to safely handle works of art.
