Requirements:

· Must have a car, valid driver license, and excellent driving record. Proof of appropriate automobile insurance may be requested

· Must be able to pass the background checks required by the TSA and US Customs

· Must be able to provide stellar customer service to diverse range of clients and vendors

· Must have ability and willingness to travel to New York for intensive training for several weeks, at the beginning of employment, and periodically as needed



Description:

Assist Washington DC Regional Manager with administrative and clerical duties, as well as provide support for all aspects of shipping and project management. Provide full office management during Regional Manager’s absences. Duty station is located in Herndon Virginia, just off the grounds of Dulles airport.



Duties:

· Assisting with all office correspondence, communication, and paperwork

· Updating and maintaining all personal TSA training and Certifications

· Opening Files (Import/Export/Domestic/Overseas)

· Preparing estimates as assigned (OTR, Ocean Freight, Airfreight)

· Filing SED’s through AES system

· Checking and establishing TSA compliance as relevant per shipment

· Preparing Import & Export Documentation such as AWBs and Delivery Orders

· Compiling Import Instruction packets for submission to Customs Broker

· Completing Job Orders and making bookings with vendors

· Making airfreight bookings with airlines

· Researching flight schedules and routing options

· Researching federal import/export regulations and requirements (OFAC, UNESCO, US Fish & Wildlife, CITES, etc.)

· Preparing US Fish & Wildlife declarations

· Providing airport supervisions and assistance for couriers and shipments at IAD, or other regional airports

· Assisting with billing by researching and requesting vendor charges; setting up charges on files; completing billing sheets and invoices for submission to accounting

· Providing Proof of Export and other documentation to customers

· Assisting with coordination of client meetings and events

· Assisting manager with filing, scanning, faxing, and space organization

· Performing all other duties as needed and assigned



Applicants should have an interest in art, art handling, freight forwarding, or other art/exhibition related subjects and concerns. Applicants should also be motivated self-starters who enjoy challenges and puzzles, and periodically enjoy working alone. Prior work experience in museums, galleries, art handling related professions, or freight-forwarding is preferred, but not required.
