About the position:
Atthowe Fine Art Services is seeking an experienced Logistics Office Assistant. We are looking for an individual who is equally at ease and professional at an office desk and on a warehouse dock for short periods of time. Our client base is varied and expects exceptional customer service.
The successful candidate must possess an understanding of the fundamentals of supporting an in-person customer service office environment for a small company. The applicant must be reasonably adaptable. Lunch break time may not be consistent day to day in an effort to work with coworkers to cover the office. On occasion, the candidate may be required to work alone or to make use of a company or personal vehicle to run errands.
The candidate may be more successful here if they also have some experience working in retail, restaurants, nightclubs, theater, events, fabrication, art/creative practices, basic project management or the like.
Bonus points should the applicant have forklift and/or pallet jack operator experience, truck driving, carpentry, woodworking, fine packing skills, etc. Compensation is negotiable if additional experience or skills are present.
Core Responsibilities:
Support department which handles the scheduling of resources, projects, packing/crating, customer service, and warehouse dock activity
Greet/direct visitors, clients, and vendors in person, by phone and with warehouse dock activity: overseeing the loading/unloading of vehicles and associated paperwork
Order and maintain office supplies and/or various other materials
Assist with office tasks: document editing/creation, data entry, transcription, phone calls/emails, research, running errands, etc.
Reconciliation of morning paperwork: sorting, figuring math, shepherding to project coordinators
Research and gather information for various job or task fulfillment
Communication with other departments to support workflow
Understand and prioritize the importance of information transfer between company departments, especially regarding gathering and documenting useful and accurate information
Assist with other day-to-day logistics operations, as needed
Typical Tasks:
Regularly meet with logistics staff to assess immediate or ongoing needs
Screen phone calls and visitors and direct them appropriately
Assist in producing department paperwork, such as bills of lading or daily schedules in Word, Excel, and other apps.
Call clients to gather information for upcoming jobs
Possibly assist field crews in un/loading trucks, leaving in the morning and/or returning at end of day
Sort, process and review field crew daily paperwork and follow up on any missing information or discrepancies, as needed
Ordering supplies and/or materials, and/or sourcing vendors for daily needs, meetings, or small events
Occasionally run office errands using company or personal vehicle

Physical Demands:
Regularly required to walk, stand, sit, bend, lift, and use hands
65% Computer desk work
35% Warehouse work and light lifting as needed (up to 50 lbs.)
Qualifications:
Possess a valid California driver’s license and a clean driving record at the time of, and for the duration of, employment
Complete and pass a TSA Security Threat Assessment application and ongoing verification
Able to perform the physical requirements in the job description
Able to follow detailed written and verbal instructions and strict protocols
Enjoys working as part of a team and contributing to cooperative problem solving
Skilled in typical office software (MS Office 365, Google suite, Asana, Adobe reader, etc.)
Exceptional attention to detail
Familiarity with art handling and transportation methods and industry expectations
Excellent communication skills – verbal and written
Able to multi-task in a sometimes-hectic environment
Able to work regularly scheduled hours, usually 8-5pm
Possess at least 1 year of experience in a museum, gallery, or art-related field
